ARTS & CRAFTS BOOTH REGISTRATION/INFORMATION

Festival Dates: 2nd FULL weekend in August (August 10 & 11, 2013) In case of disastrous weather, the SFSF committee will have the final decision to reschedule the Sneads Ferry Shrimp Festival for the last weekend in October.

 

Deadline: There are a limited number of Spaces Available, so acceptance is based upon your arts and crafts items as well as the timeliness of payment with your application.  Please submit your application with all required information as soon as possible. If you have any questions, please call Ana Scott 910-545-5119 or email at sneads_ferry@rocketmail.com. A backup list will be maintained should there be a need to replace a vendor.

 

Registration: Registration fee is $125.00 with a $50.00 deposit on top of this rate bringing the total amount due with application $175.00  for the weekend for all applications and payments received prior to June 1st. Registration Fees will be $150 with a $50.00 deposit for all applications and payments received after June 1st. There are no refunds for inclement weather.

 

Deposit: Your deposit will be returned to you within 25 days from the last day of the festival. This deposit is to ensure several things; the promise to keep your booth open and running during required operating times, to ensure that you bring ONLY the permitted vehicles allowed, and to ensure that your vehicle is OFF the grounds by 9am Saturday morning and may not be drove back onto the grounds until after 5 pm on Sunday. If any one of the mentioned items or combination of the above mentioned items are not followed, your deposit will be lost, and you will possibly lose the right for return for the following year.

 

Spaces are approximately 12’x15’ for arts and crafts booth vendors. Since we have a few trees on the festival grounds some spaces may exceed the standard size. Electricity and water are available. Vendors should bring everything they need to operate booth, i.e.: extension cords, tent, fan, table, chairs, lights, etc.

 

Set up date & time: You may set up on Friday from noon until 6 p.m (THIS IS PREFERRED) ., please check in with the SFSF Arts & Crafts Booth Coordinator, Ana Scott upon arriving if you have questions. An email will be sent to you  (or mailed if specified) 7 days prior to the festival, giving you further instructions as well as showing you where your booth will be on the grounds) All vehicles must be off the field and you must be set up no later than 9 a.m. Saturday. We have electricity available so we require that you stay open until the Fireworks begin, at around dusk or approximately 9 p.m. Sunday’s hours are from noon until 5 p.m. Vehicles will NOT be allowed on the premises to break down early, violators will not be welcomed back and will lose their deposit.

 

 Security: We will have paid Sherriff’s Deputies on the premises from 6 p.m. Friday until 6 p.m. Sunday, but that does not release you from liability nor does it hold us liable for theft, fire or destruction.

 

Parking: Limited parking for all vendors will be available near the grounds on a first come first serve basis. NO vehicles will be allowed in the exhibition area during the festival. All vehicles MUST be off the grounds by 9 am Saturday morning. There is no electricity, water or sewer hook ups for vehicles. No vehicles are allowed to be used for sleeping arrangements during the festival or for over night arrangements. If you are caught sleeping in your vehicle over night, your deposit will be lost and the authorities will be called.

 

Refuse: Trash cans and dumpsters will be provided on the grounds for you to dispose of your refuse to keep your area clean.

 

Forbidden Items: Animals (unless approved by the SFSF Chairperson), firearms, wooden rubber band guns, knives, air guns, pellet guns, crossbows, crossbow pistols, silly string.  You are NOT permitted to sell items featuring shrimp, shrimp festival, Sneads Ferry Shrimp Festival, etc.  unless you have obtained prior written approval by the SFSF committee. You are not permitted to exhibit or place signs outside of your booth area.

 

Your NC Sales Tax ID number is required and must be provided with you application. Please also provide at least two (2) photos of your crafts/products and set-up, or your website address where we can view what you will be bringing to the festival. (Photos and web addresses are not required for returning vendors, unless you are adding new items.) Remember booth spaces are for 10’x10’ tents ONLY.

 

Website: www.sneadsferryshrimpfestival.org has been established to help vendors as well as visitors, it contains festival information, directions and other up to date information.  We will have a map of the grounds as well as booth placement for you to view where your booth will be located 7 days prior to the event. Please refer to “Festival Info” and click on “Arts & Crafts “when on our web site.

Accommodations for Motel: BE SURE TO MAKE YOUR RESERVATIONS EARLY! The following hotel/motels are located in Sneads Ferry and book up very quickly:

We have limited camping spaces available with water and 30 amp electrical hooks up; this is on a first come first serve basis for $50 from noon Friday until 8 p.m. Sunday. Additional days or nights are $25.00. Camping sites are for campers with self contained systems only; we do not have any bathroom/shower facilities.

 

Liability: You must read, sign and return the liability/hold harmless agreement.

All booth spaces now have 1 electrical outlet so please bring your 50’-100’ extension cord, (to reach the outlet) lights to illuminate your products after the sun has set and a fan to keep in cool in the summer heat.

Liability Regulations

 

For any questions concerning the liability regulations, contact the food or arts and crafts booth coordinators or the Festival Chairperson. You can email sneads_ferry@rocketmail.com for questions. Please make a note on the application if you are a returning vendor, and you would like the same spot as last year. Please also note what the number of your space was last year. This is NOT a guarantee of getting the space requested but we will work with you to the best of our ability.

 

RELEASE AND HOLD HARMLESS AGREEMENT

 

The exhibitor agrees to the following:

 

Indemnify, save harmless, and defend Sneads Ferry Shrimp Festival, Sneads Ferry Community Council, its successors in interest from and against any and all claims, demands, actions, debts, liabilities and attorneys fees arising out of, claimed on account of, or in any manner predicated upon loss or damage to the property of and injuries to or death of any and all persons whatsoever, in any manner caused or contributed to by the Concessionaire, its agents, volunteers, or employees while in, upon or about the Sneads Ferry Shrimp Festival/Sneads Ferry Community Grounds where the concession is located, or while going to or departing from the same, and to indemnify and save harmless the Sneads Ferry Shrimp Festival/Sneads Ferry Community Council, its successors in interest from any liability and that Sneads Ferry Shrimp Festival/Sneads Ferry Community Council may suffer as the result of acts of negligence, fraud, or misconduct of any Concessionaire’s agent, volunteer or employees on or about the Sneads Ferry Shrimp Festival/Sneads Ferry Community Council Grounds.

 

Release the Sneads Ferry Shrimp Festival/Sneads Ferry Community Council from any and all liability for loss or damage to property and merchandise used by the Concessionaire in the operation of the concession due to theft, fire, storm, flood and damages through any force of nature or otherwise.

 

I further grant the Sneads Ferry Shrimp Festival permission to use any photographs, motion pictures, recording or any other record of my participation in the festival for any legitimate reasons.

  1. First and foremost: Safety is everyone’s responsibility. If you see anything that could or might be a safety hazard, notify the Chairperson or any Festival Staff member immediately!!
  2. Overhead: Be aware of overhead power lines. They are installed and maintained by our local electric company and should not be a problem for a standard 10’x10’ tent, but you should still be aware of them.
  3. Underground: We have underground electric, gas and water lines, they are suppose to be at least 18” in the ground, but they were put in by contractors, please do not drive stakes into the ground. If you sever a line, please IMMEDIATELY notify the Chairperson or a Festival Staff member.
  4. Electrical: Do NOT DIRECT WIRE INTO ELECTRICAL PANELS, it is illegal, when we find it, it will be disconnected and you will not be allowed to hook up to power, you will be subject to County fines and/or arrest. Please let the SFSF know of your power requirements so we can have plugs installed by qualified personnel. Ground Fault Interrupters (GFI) often trip, simply reset the outlet, if that doesn’t work alert a Festival Staff member.
  5. Littering: Littering is illegal, we have over 15 large trash receptacles around the grounds and a large garbage truck is parked behind the building, please use them.
  6. Dumping: Do not dump vegetable oil onto the ground, you must take it home with you. It is illegal to dump oil and you may be fined and/or arrested.
  7. Grey water: Do not dump grey water on the ground, you may be subject to County fines and/or arrest. Either retain your grey water or dump it into the barrels labeled and designated for grey water.

  9. Hand Sanitation: Hand washing is a big part of Safety; we have hand washing stations with soap located nest to the porta-johns, near the fossil dig area and the beer garden, please use them and feel free to advise patrons where to find and use them.
  10. Pets: Pets are not allowed in the festival area.
  11. Security: We employ Onslow County Sheriff’s Department to be on the field from 6 p.m. on Friday until about 6 p.m. on Sunday. Although rare, kids have been known to disturb closed vendor areas, please secure your valuables. We assume no liability for anything.
  12. Vehicles: Absolutely NO Vehicles will be allowed to be driven on or off, or through the festival area during festival hours.
  13. When in Doubt: Ask the Chairperson or a Festival Staff Member.
